Left something at a Hokkaido hotel, on a train or in a shop? Trace your route, prepare an enquiry and confirm collection or delivery before changing your trip. Separate steps apply to phones, cards and passports.

  • Trace where you last saw the item and contact the facility or operator through its official channel.
  • An item being found does not confirm collection hours, identity checks or delivery.
  • For phones, cards and passports, ask the relevant issuer or authority about protective steps while the search continues.

Where you noticed the loss is not necessarily where it happened

Noticing a missing bag at your Sapporo hotel does not establish that it was lost there. Stop somewhere safe, check your companions’ luggage too, and write down the last time and place you definitely saw it. List the transport and businesses you used afterwards. Narrow the enquiry before travelling back to another station.

For a train, record the date, route, departure time, train name and, if known, carriage and seat. For a taxi, use the company on the receipt and your boarding and drop-off points. For a hotel, prepare stay dates and the reservation name; for a shop, the visit time and seating area. Describe the type, colour, size, brand, distinctive marks and contents through a private channel. Do not provide PINs or device-unlock codes.

Separate a facility enquiry from a police report

Use the facility’s or operator’s official website to find its lost-property contact and enquiry procedure. Stations, vehicles, airport terminals and aircraft do not necessarily share one desk. If referred elsewhere, record the contact time, department, reference and next contact. One desk finding no match does not establish that other locations have none.

Hokkaido Police’s official guidance links to the National Police Agency’s lost-property reporting and search page, checked on October 29, 2026. Contacting a facility does not also complete a police report; follow the official guidance for any report or search you need. No search result is not a final finding that the item cannot be recovered. This article is an editorial checklist, not a guarantee of any agency’s retention period, collection service or delivery.

Confirm collection before travelling to the item

If an item matching your description has been found, ask where it is held now, which desk handles collection, when it is available, and which identity documents or references to bring. The collection point may differ from where you left it. Confirm whether you can collect it that day before rearranging transport and sightseeing.

For collection by a companion, ask about authorisation and identity requirements first. Receiving a bag does not confirm that every wallet, card or other item inside has also been returned. Check the contents and record separately what you have received and what remains missing.

Delivery to your next hotel or after returning home

On a touring itinerary, compare returning to Sapporo with receiving the item at your next base. First ask the holding office whether it ships items, which items and domestic or overseas addresses it accepts, and how charges are paid. Do not assume international shipping, payment on delivery or carriage on an aircraft is available.

Before sending to a hotel, obtain its acceptance and confirm the reservation name, address format, stay dates and what happens if the parcel is late. A dispatch estimate is not a guaranteed arrival date; do not choose your last-night hotel without a workable delivery plan. Before changing a flight or long-distance booking to collect the item, compare the change conditions and costs as well.

Phones, cards and passports need separate checks

A missing phone can affect reservations and electronic tickets as well as communication. Arrange a usable contact method, perhaps through a companion, and consult your mobile provider and device service through their official channels about protection steps. A location marker is not permission to enter railway tracks or restricted areas, or to confront someone alone. Ask the facility or police for help instead.

For missing cards or a passport, contact the card issuer or your country’s embassy or consulate about the necessary action while the search continues. Whether a blocked card can be used after recovery, how a passport report affects its validity, and which documents are needed to travel are matters for the relevant authorities. A police reference alone does not establish permission to board or cross a border.

An enquiry template and a completion note

Message: “I used [route/facility/seat] on [date/time] and may have left [item, colour and distinctive features]. Has a matching item been handed in? If found, please confirm its current location, collection hours, required documents, whether an authorised companion can collect it, and delivery options and costs. I move to my next hotel on [date].” Share contact details and booking references privately with the official desk, not in public social posts.

Keep a note of the contact / enquiry time / reference / identified item / holding location / collection method / costs / next follow-up. Finish at confirmed receipt by you or an approved representative and a contents check, not simply at “found”. Separately follow up any card block or official report with the office that handles it.
